# Expense reports and reimbursements with an AI agent

> Connect the card you use for work expenses to your agent with BankBridge, then ask it to list charges from a trip or date range that match work merchants (airlines, hotels, rideshare, client meals). Have it match each to a receipt, format a report your employer's system accepts, and later confirm each reimbursement deposit arrived.

## 1\. Connect the card you use for work

Most people put work travel and meals on a personal card and get paid back into checking. Connect both at [bankbridge.money](https://bankbridge.money/login): the card to find the charges, the checking account to see reimbursements land. ## 2\. Find the work charges

Give the agent the context it needs:

> “I traveled to Denver for work from September 14 to 18. List every charge on my card ending 1190 from September 13 to 19, including airline, hotel, rideshare, meals, and parking. Mark which ones are pending.”

The agent calls `list_transactions` with the account and date range. For merchants that bill before or after the trip (airfare booked weeks earlier, a hotel that posts late), follow up:

> “Search the last 60 days for airline charges and anything with Denver in the description.”

That uses `search_transactions`, which matches on the transaction name and merchant name. Remove the personal items (the dinner with a friend, the souvenir) before moving on.

## 3\. Match receipts

If your agent can read files, put receipts in one folder and ask:

> “Match each receipt in ./receipts/denver to a charge in the list by amount and date. Allow a two-day gap and up to 25% extra on restaurant receipts for tips. List charges with no receipt and receipts with no charge.”

The “charges with no receipt” list tells you what to dig out of your email. The “receipts with no charge” list usually means a charge landed on a different card, or you paid cash.

## 4\. Build the report

Most expense systems accept a CSV import or a line-by-line form. Ask for the format yours uses:

Claude Code and Cowork can write the file directly. In the chat apps, ask for the CSV in a code block and save it. Write the business purpose yourself if your employer audits it; the agent can draft it, but you are the one who knows who you met.

## 5\. Confirm you got paid back

Reimbursements usually arrive as a separate deposit or folded into a paycheck. A week or two after submitting, ask:

> “I submitted a $1,140.35 expense report on September 22. Has a deposit for that amount, or a paycheck larger than usual by that amount, landed in my checking since then?”

The agent compares deposits since the date against your usual pay amount. If you submit reports often, keep a running list (a file in Claude Code or Cowork, or a [Claude Project](https://bankbridge.money/guides/claude-projects-for-personal-finance)) of submitted reports and their status, and ask the agent to update it each month. ## Tips for cleaner reports

-   **Use one card for work.** It makes step 2 a date filter instead of a search.
-   **Run a quarterly sweep.**“List airline, hotel, and rideshare charges from the last 90 days that are not in my submitted reports list.” This finds the ones you forgot.
-   **Watch foreign transaction fees.** They post as separate small charges. Many employers reimburse them if you include them.

## FAQ

### Can the agent submit the expense report for me?

Not through BankBridge, which is read-only. The agent prepares the list, the CSV, and the descriptions. You upload or paste them into your employer's expense system and submit.

### Can it read my receipts?

If your agent can read files, yes. Claude Code and Claude Cowork can read receipt PDFs and images in a folder you point them at, and the Claude and ChatGPT apps can read receipts you attach to the chat. BankBridge supplies the card side to match against.

### How does the agent know which charges were for work?

It does not know on its own. Give it the trip dates, the cities, and the kinds of merchants you expense. It filters by date and merchant, then you confirm or remove items before anything goes into the report.

### What if a charge is still pending?

Pending charges can change amount, especially hotels, restaurants with tips, and car rentals. Ask the agent to mark pending items and wait until they post before you submit.

### How far back can I search for unreimbursed expenses?

Up to 24 months of transactions. That is enough to catch a forgotten trip from last year, though your employer's submission deadline may be much shorter.
